External Grievance Mechanism

At Milence, we are committed to conducting our business responsibly and to respecting the people, communities and environment that may be affected by our activities. We recognise that concerns may arise in connection with our operations, charging locations, business relationships or supply chain. Our External Grievance Mechanism provides a straightforward way for external stakeholders to raise such concerns and have them considered.

Raising a concern about Milence

Who can raise a concern?

Anyone who believes they have been, or may be, adversely affected by Milence’s activities or business relationships can raise a concern. This includes local communities, suppliers, contractors, business partners and other interested stakeholders.

What concerns can be raised?
Concerns may relate to, for example:

  • Human rights and labour: working conditions, discrimination, harassment or other human rights concerns.
  • Health and safety: risks to people associated with our activities or locations.
  • Environment: pollution, waste, noise or other environmental impacts.
  • Business ethics: bribery, corruption, conflicts of interest or other unethical conduct.
  • Community impacts: concerns about the effects of our activities on local communities.
  • Other ESG matters: any other environmental, social or governance concern connected to Milence’s activities or business relationships.

How to submit a grievance
Send an email to compliance@milence.com, with the subject line “External Grievance”. Please include, where possible:

  • A description of the concern.
  • The location and date of the incident, if relevant.
  • Any information that may help us understand the issue.
  • Your preferred contact details and method of communication.

You do not need to provide every detail to submit a concern. Grievances can also be raised anonymously. If you report anonymously, please provide a way to communicate with you if possible, as this may help us assess and address the concern.

What happens next?
Milence will acknowledge receipt of a grievance within seven working days, where contact details are available. We will assess the concern, determine appropriate next steps and, where possible, keep the person raising it informed of progress.

We aim to resolve grievances within 40 working days. Where a matter is complex or requires further investigation, this may take longer. We will explain any significant delay and provide an update.

Our approach is to address concerns fairly, proportionately and, where appropriate, through dialogue with the person raising the grievance.

Confidentiality and protection against retaliation
Grievances will be handled sensitively and shared only with those who need the information to assess or address the concern, subject to applicable legal obligations. We will take reasonable steps to protect personal information.

Milence does not tolerate retaliation against anyone who raises a concern in good faith or participates in the grievance process.

An accessible and fair process
The mechanism is free to use. Concerns will be considered objectively and without discrimination. Raising a grievance does not prevent anyone from contacting a regulator, seeking legal advice or using other available complaint or remedy channels.  For further information, or to submit a grievance, please contact compliance@milence.com.
